Personal Lifestyle Assistant (Family Office)

About the Role

We are looking for an experienced Personal Lifestyle Assistant to support a private family and take ownership of their day-to-day personal operations.

This is not a traditional Personal Assistant role focused primarily on executing individual requests. The key objective is to build a reliable and efficient lifestyle management system that minimizes the family's involvement in routine operational matters.

The successful candidate will initially work hands-on: understanding the family's needs, taking over existing tasks, identifying gaps and risks, establishing processes, and coordinating external providers. As the system develops, the role will also involve selecting and managing additional staff and contractors where necessary.

Responsibilities

• Manage and coordinate the family's day-to-day personal and lifestyle operations.
• Build structured processes for recurring personal tasks, deadlines, documents, budgets, and service providers.
• Coordinate healthcare and wellbeing matters, including appointments, medical records, preventive check-ups, second opinions, treatment follow-ups, and emergency arrangements.
• Organize travel and logistics, including itineraries, bookings, transportation, documentation, insurance, and contingency plans.
• Manage personal schedules, appointments, important dates, and time-sensitive matters.
• Coordinate the operational management of residences, vehicles, maintenance, repairs, household services, and related contractors.
• Manage personal documents, insurance policies, renewals, and critical deadlines.
• Source, evaluate, coordinate, and monitor household staff, personal service providers, and external contractors.
• Prepare and manage lifestyle operating budgets within agreed limits and ensure reasonable cost-to-quality across suppliers and services.
• Handle special personal projects and gradually support operational matters related to other family members when required.
• Maintain clear task tracking, documentation, access management, backup arrangements, and escalation procedures.
• Ensure sensitive personal, family, financial, and medical information is handled with a high level of confidentiality and security.
• Present clear recommendations when decisions are required, including proposed solution, cost, risks, and deadlines.

Requirements

• Proven experience in a Family Office, Private Office, Family Operations, or a senior Personal / Executive Assistant role with significant responsibility for private lifestyle operations.
• Previous experience building a comparable personal operating system from scratch or significantly transforming an existing one is essential. функционал_Private_of_FO_с_суще…
• Strong hands-on experience managing complex personal and lifestyle matters rather than only coordinating an existing team.
• Experience managing travel, healthcare coordination, residences, personal documentation, household operations, staff, and external contractors.
• Ability to independently design processes, establish priorities, identify risks, and implement practical solutions.
• Strong budgeting and cost-control skills, including supplier selection, comparison of alternatives, and expense management.
• Excellent organizational and project management skills with the ability to manage multiple priorities simultaneously.
• Strong judgement and ability to make independent decisions within an agreed mandate.
• Ability to provide a clear recommendation rather than simply presenting multiple options for the family to evaluate.
• High level of discretion, confidentiality, and sensitivity when handling private information.
• Comfortable working directly with two principals, managing conflicting priorities, and escalating only when a decision genuinely requires their involvement.
• Hands-on, proactive, structured, and solution-oriented approach.
• Long-term mindset and interest in building a stable working relationship with one family.

Conditions

• Full-time position.
• Direct work with the principals and close interaction with the Family Office.
• High level of autonomy and ownership over personal and lifestyle operations.
• Opportunity to build processes and supporting resources around the family's actual needs rather than inherit a rigid existing structure.
• Long-term cooperation with a high level of trust and responsibility.
